Gift cards, vouchers, loyalty, and external tenders

Understand the validation and accounting differences between stored value and ordinary cash/card payment.

Overview

  • Gift Card redemption validates an active, unexpired card and sufficient balance before approving the Payment, then reduces the stored card balance.
  • Voucher payment validates the voucher and authoritative amount for the current order, then records redemption/use state.
  • Loyalty redemption is validated against the linked customer and configured redemption rules; it is not the same as Cash.
  • External Voucher is a configured manual/external tender and can require provider/reference details depending on its setup.
  • A Gift Card cannot be used to purchase another Gift Card.

When to use this

  • Use these methods only when the customer is genuinely redeeming that exact stored-value/benefit instrument.

Step-by-step

  1. Choose Gift Card/Voucher/appropriate stored-value option from checkout.
  2. Enter the required code or reference details.
  3. Let MiniTill validate the available/allowed amount.
  4. Apply only the authoritative allowed amount and collect any remaining balance with another tender.
  5. Keep the order/payment record if later investigating the redemption.

Common mistakes

  • Do not type an arbitrary Gift Card or Voucher amount that exceeds what MiniTill validates.
  • Do not use an external voucher tender without the required provider/reference information.
  • Do not assume a normal refund record automatically restores every stored-value instrument. Current generic refund bookkeeping does not itself reverse the original Gift Card/Voucher redemption balance.

Troubleshooting

  • If Gift Card is rejected, check status, expiry, code, balance, and business eligibility.
  • If Voucher is rejected, check code, remaining value/status, customer/order conditions, and the quoted amount.
  • For a refund involving Gift Card or Voucher tender, review the original stored-value record and business policy separately because refunding the Payment record is not the same as automatically reissuing stored value.
