MiniTill is committed to protecting privacy. This Privacy Policy explains how we collect, use, store, share, and protect personal information when you use MiniTill.

MiniTill is operated from New Zealand and is designed for hospitality businesses including cafés, bakeries, takeaway shops, and other food-service operators.

2. Information we collect

Depending on how MiniTill is used, we may collect:

• Account information: name, email address, phone number, business name, role, and login details.
• Business and store information: business details, store locations, staff users, device settings, and menu or product information.
• Customer information entered by businesses: customer names, phone numbers, email addresses, loyalty details, order history, and notes where entered.
• Order and transaction information: order items, totals, payment method, refunds, discounts, surcharges, vouchers, gift cards, and till closing data.
• Integration data: information exchanged with payment providers, Stripe billing, Xero or other accounting integrations, online ordering providers, printer or bridge devices, and other connected services.
• Technical information: IP address, browser or device details, logs, cookies or similar technologies, security events, and diagnostics.
• Support communications: emails, support requests, issue reports, and related metadata.

3. How we use information

MiniTill uses personal information to:

• Provide and operate the POS and order management service.
• Process orders, payments, refunds, loyalty, reporting, and store operations.
• Manage accounts, subscriptions, billing, support, and security.
• Improve reliability, diagnose bugs, prevent fraud or misuse, and maintain audit logs.
• Communicate service updates, security notices, billing notices, and support responses.
• Comply with legal, tax, accounting, and regulatory obligations.

4. Customer data and merchant responsibility

MiniTill's business customers are responsible for the personal information they enter about their own customers and staff. Businesses should only enter information they are allowed to collect and use.

MiniTill processes that information on behalf of businesses to provide the service and support the features they choose to use.

5. Sharing information

MiniTill does not sell personal information. We share information only where necessary, including with:

• Hosting and infrastructure providers.
• Payment and billing providers such as Stripe and payment terminal providers.
• Accounting and integration providers such as Xero when connected by the business.
• Email, analytics, monitoring, support, and security service providers.
• Legal or regulatory authorities where required by law.
• Other parties with consent or where needed to provide requested integrations.

6. Overseas storage and service providers

Some MiniTill service providers may store or process information outside New Zealand. We take reasonable steps to use reputable providers and to protect information appropriately.

MiniTill uses reasonable technical and organisational safeguards, including:

• Access controls and least-privilege access where practical.
• Authentication controls.
• Encryption where appropriate.
• Backups and continuity protections.
• Logging and monitoring for security and reliability.

No system is completely secure, and we cannot guarantee absolute security.

8. Data retention

We keep information for as long as needed to provide the service, meet legal and accounting obligations, resolve disputes, maintain audit records, and support business continuity.

Businesses may request deletion or export where appropriate. Some records may still need to be retained for legal, tax, security, or audit reasons.
