Run a Stocktake
Start one Store Stocktake, count by Storage Area, let progress save automatically, and resume later if needed.
Overview
- Only one Stocktake can be IN_PROGRESS for a Store at a time.
- Starting Stocktake snapshots the tracked items, Storage Areas, units, conversion factors, and the system stock at that moment.
- The count screen is grouped by Storage Area and saves counts automatically.
- An unfinished Stocktake can be resumed later from the Stocktake page.
- Recent Stocktakes remain available as COMPLETED, CANCELLED, or IN_PROGRESS records.
When to use this
- Run Stocktake at a repeatable operational time when staff can physically inspect the relevant stock without large unrecorded movements happening at the same time.
Step-by-step
- Confirm Inventory setup says Ready for stocktake.
- Choose Start stocktake.
- Walk through each Storage Area in order.
- Leave correct starting values unchanged, use +/− for small differences, or type the real count for a larger difference.
- Watch each line reach Saved state.
- Resume later if necessary.
- Choose Complete stocktake only after the physical count is finished.
Common mistakes
- Do not start a second Stocktake when one is already in progress; Resume the existing session.
- Do not complete while any line is still Saving or has an error.
- Do not change Inventory setup mid-count unless necessary; completion can reject a Stocktake if the underlying stock record no longer matches its start snapshot.
Troubleshooting
- If Start is disabled, review the readiness issues shown above the Stocktake history.
- If a line shows Retry/error, correct the count/network issue and make sure it reaches Saved before completing.
