Complete, cancel, and review Stocktakes
Know exactly when counts change Current stock and what happens when a Stocktake is cancelled.
Overview
- Counts entered during an IN_PROGRESS Stocktake do not become the final reconciled stock position merely because they were saved on screen.
- Complete stocktake sums the counted quantities per stock item, compares them with the current inventory ledger balance, and creates ADJUSTMENT ledger entries only where a difference exists.
- If counted total equals current stock, no adjustment entry is needed for that item.
- After completion, the Stocktake becomes read-only and its count becomes the latest confirmed physical position.
- Cancel stocktake keeps the session/history as CANCELLED but does not apply its saved counts to inventory.
When to use this
- Complete only after staff are satisfied the count is real; Cancel when the session should be abandoned and none of its counts should affect inventory.
Step-by-step
- Make sure every line is Saved.
- Choose Complete stocktake.
- Wait for completion; MiniTill may briefly retry safe database conflicts.
- Review Current stock after completion.
- To abandon instead, choose Cancel stocktake before completion.
Common mistakes
- Do not cancel expecting the entered counts to become Current stock.
- Do not edit a completed Stocktake as though it were still active; completed records are read-only.
- Do not start another Stocktake to correct one obvious mistake without first understanding the resulting ledger adjustment.
Troubleshooting
- If completion says counts are still being confirmed, wait briefly and try again rather than entering duplicate counts.
- If completion says Inventory setup changed, review the item mentioned; its stock record no longer matches the snapshot captured at Stocktake start.
