Count one item across multiple Storage Areas
Understand Primary-area starting values and how MiniTill sums separate physical locations into one final stock balance.
Overview
- A stock item assigned to several Storage Areas creates a separate Stocktake line for each physical area.
- At Stocktake start, the existing system stock is used as the starting value in the item's Primary Storage Area.
- The same item's other Storage Areas start at zero so the same system stock is not duplicated across every location.
- Staff should replace those starting values with the real physical count in each area.
- When Stocktake completes, MiniTill converts and sums all Storage Area lines for that stock item and reconciles the combined total against Current stock.
When to use this
- Use multiple-area assignment for stock genuinely split across locations, for example cream cheese in a walk-in fridge plus a smaller front service fridge.
Step-by-step
- Choose a Primary Storage Area during Inventory setup.
- Start Stocktake.
- Count the item's physical quantity separately in every listed area.
- Do not leave a secondary area at zero if stock is physically present there.
- Complete Stocktake; MiniTill sums the areas into the item's final Store quantity.
Common mistakes
- Do not expect the old system stock to be automatically split accurately between several areas; MiniTill cannot know the physical split before staff count it.
- Do not enter the Store-wide total into every area, or the final stock will be overstated.
- Do not treat Primary area as the only place the item may be counted; it mainly determines where the previous system balance is placed as a starting point.
Troubleshooting
- If the same item appears several times, check whether it is intentionally assigned to several Storage Areas.
- If the completed total is too high, review whether the Store-wide quantity was accidentally entered in more than one area.
