Set up Storage Areas
Organise Stocktake around the real places staff walk through and count, including items stored in more than one location.
Overview
- Storage Areas are Store-specific physical counting locations such as Dry store, Chiller, Freezer, Front counter, or Prep fridge.
- A tracked stock item must have at least one active Storage Area before Stocktake can start.
- An item can be assigned to more than one Storage Area.
- When multiple areas are selected, one must be chosen as the Primary Storage Area.
- Storage Area sort order controls the order staff work through the Stocktake.
When to use this
- Create areas that match the physical counting route staff actually use, rather than abstract accounting categories.
Step-by-step
- Open Inventory setup → Storage areas.
- Create clearly named physical locations.
- Arrange their sort order to match the preferred counting route.
- Assign tracked items to the area or areas where they can physically be found.
- For an item in several locations, choose the most natural Primary area.
Common mistakes
- Do not create duplicate areas with nearly identical names.
- Do not archive an area without checking the tracked items assigned to it; archiving removes those area assignments.
- Do not assign an item to several areas unless staff really need to count separate physical piles.
Troubleshooting
- If Stocktake says an item needs a Storage Area, assign it to at least one active area.
- If an item appears in an unexpected section of Stocktake, review its Storage Area assignments and area sort order.
