What a refund changes: loyalty, charges, and history

Know the current side effects before refunding, including MiniTill's present loyalty reversal behaviour.

Overview

  • Refunds are persisted as separate Refund records linked to the original Payment. MiniTill does not erase the original sale/payment history.
  • The selected Payment's refundedAmount and status are updated after an approved refund, and the order-level Payment status is reconciled.
  • When a Payment becomes fully refunded, payment-related charges for that fully refunded Payment are cleared by the current refund logic.
  • Current loyalty behaviour is order-level: the first approved refund on an order triggers loyalty refund reconciliation. If the order had earned loyalty, MiniTill reverses the full loyalty earn for that order. If points were redeemed on that order, MiniTill restores the full redeemed points.
  • That loyalty behaviour currently applies even when the monetary refund is only partial; it is not prorated to the refund amount.

When to use this

  • Read this before processing a partial refund on an order that earned or redeemed loyalty points.

Step-by-step

  1. Before refunding, check whether the order has a linked customer and loyalty earn/redemption.
  2. Process the correct Payment refund.
  3. After approval, review Refund history and the customer's loyalty ledger/balance if loyalty was involved.
  4. For partial refunds, remember that the current loyalty side effect is still full-order reversal/restoration.

Common mistakes

  • Do not promise a customer that loyalty will be adjusted proportionally to a partial refund; current MiniTill logic does not prorate it.
  • Do not manually reverse/restore loyalty before the refund and then let the automatic refund reconciliation do the same thing.
  • Do not delete historical payment/refund records to make totals look cleaner.

Troubleshooting

  • If loyalty changed more than expected after a partial refund, compare the loyalty ledger with this current full-order refund-reconciliation rule.
  • If loyalty reconciliation was skipped because of an exceptional error, inspect the order/customer loyalty logs before making a manual adjustment.
