Cancel or refund an order that used loyalty

Know when redeemed points are restored and the current non-prorated loyalty behaviour on monetary refunds.

Overview

  • Opening the payment screen is not meant to permanently consume points by itself; cancellation/change flows reconcile against server order state.
  • If an applied loyalty redemption is cancelled through the supported unpaid-order cancellation path, MiniTill restores the committed redeemed points according to the order state.
  • For an approved monetary refund, current MiniTill loyalty reconciliation is order-level rather than proportional.
  • On the first approved refund, earned points for that order are fully reversed and redeemed points are fully restored, even if the monetary refund is only partial.

When to use this

  • Read this before manually adjusting points after a cancelled sale or partial refund.

Step-by-step

  1. Use the normal order cancellation/refund workflow first.
  2. After completion, open the customer's Point ledger.
  3. Confirm whether a redeem restoration and/or refund reversal entry was created.
  4. Only use a manual adjustment if the ledger shows a genuine exception that still needs correction.

Common mistakes

  • Do not manually restore redeemed points before the normal refund/cancel workflow has had a chance to reconcile them.
  • Do not promise proportional loyalty reversal on a partial refund; current logic is full-order.
  • Do not process a second manual correction merely because the customer's balance changed more than the monetary refund percentage.

Troubleshooting

  • If a customer says points disappeared after cancellation, inspect the order and Point ledger before adjusting anything.
  • If a partial refund caused full earn reversal/restoration, that matches the current order-level loyalty rule documented here.
