Refunds involving Gift Cards
Understand the current difference between refunding a Payment record and restoring Gift Card stored value.
Overview
- MiniTill can record a refund against an eligible Gift Card payment.
- That generic refund path does not itself create a reverse Gift Card transaction or automatically add the redeemed amount back to the Gift Card's Current balance.
- A recorded refund does not automatically mean the value has been added back to the Gift Card balance.
- This is different from loyalty refunds, which have explicit order-level point reversal/restoration logic.
When to use this
- Read this before promising that a refund paid originally by Gift Card will automatically re-credit the card.
Step-by-step
- Identify the original Gift Card Payment and card transaction.
- Follow the business's refund policy.
- If recording a MiniTill Payment refund, verify the refund record separately from the Gift Card Current balance.
- Do not tell the customer stored value has been restored unless the Gift Card balance/transaction history actually confirms it.
Common mistakes
- Do not assume refunding the Payment automatically reverses the REDEEM transaction.
- Do not manually change unrelated loyalty points to compensate for a Gift Card issue.
- Do not issue a second Gift Card without preserving the original refund/audit context.
Troubleshooting
- If a refund is recorded but the Gift Card balance did not increase, that matches the current generic refund limitation.
- Use Gift Card transaction history and Refund history together when investigating the case.
