Ingredients, Recipes, Costing & Purchasing
Archive Ingredients and Recipes safely
Archive costing records safely when Recipes or Products still depend on them.
Overview
- Deleting an Ingredient archives/soft-deletes the Ingredient rather than removing historical records.
- Deleting a Recipe archives/soft-deletes the Recipe and soft-deletes active Product↔Recipe links to that Recipe.
- A Product whose Recipe link is removed can lose calculated costing data until another valid Recipe is linked.
- Parent Recipes that relied on a retired/missing component can become incomplete/unavailable.
- Historical supplier/cost/order records are not meant to be rewritten simply to clean up the active list.
When to use this
- Archive only when an Ingredient/Recipe is genuinely no longer part of the active costing model, not just because a supplier changed.
Step-by-step
- Before deleting, review Recipe usage / Used by.
- For an Ingredient, update affected Recipes first if the ingredient is being replaced.
- For a Recipe, review parent Recipes and its linked menu Product.
- Archive/delete only after the replacement structure is ready.
- Recheck Dashboard/Product coverage afterward.
Common mistakes
- Do not delete an Ingredient merely because one Supplier Product is discontinued; disconnect/change the purchase option instead.
- Do not delete a Recipe just to unlink it from a Product if you still need the Recipe elsewhere.
- Do not expect a Product to retain a valid calculated cost after its linked Recipe is archived.
Troubleshooting
- If Product coverage drops after cleanup, check whether a Recipe link was archived.
- If a parent Recipe becomes unavailable, inspect whether one of its Ingredients/sub-recipes was retired.
