Review payment and refund history
Trace what MiniTill actually recorded after a sale, including payment method, amount, status, refund records, operator, and provider references.
Overview
- The Payments views let authorised users inspect individual Payment records, including the original order, amount, method, status, terminal/provider context, and linked refunds.
- Reports → Payments provides period/store filtering where the current plan and role allow that report.
- Sell → Refunds → Refund history shows the 50 most recent refund records across stores the current user can access, with Store filtering when multiple stores are available.
- Refund history includes refund date/time, order number, amount, reason, Payment/provider, status, processing staff attribution when recorded, and provider reference.
- These records are preferable to relying on memory, a printed receipt, or what a terminal appeared to show during an interrupted transaction.
When to use this
- Use payment/refund history when reconciling a customer complaint, investigating a duplicate-charge concern, checking who processed a refund, or comparing MiniTill with a provider/till record.
Step-by-step
- Start from the Order when you know the sale, or use the Payments/Refund history view when tracing a money event directly.
- Match the order number, Store, date/time, amount, and method.
- For Card, compare provider reference/terminal information where available.
- For a refund, review its amount, reason, status, processing user, and provider reference.
- If the current status is PENDING or otherwise unresolved, use the supported recovery flow instead of creating another Payment or Refund.
Common mistakes
- Do not treat a printed receipt as the only payment record.
- Do not assume the latest refund history page is an unlimited archive; the current Refund history screen shows the 50 most recent records.
- Do not compare gross Payment amount to net sales without accounting for refundedAmount/refund records.
Troubleshooting
- If a Payment is not visible in the expected reporting period, check Store scope and date filters.
- If the refund exists but the customer says money has not arrived, distinguish an APPROVED provider refund from bank/card settlement timing outside MiniTill.
- If provider and MiniTill records disagree, preserve the order/payment/refund identifiers and provider references before taking any additional money action.
