On Account payments and Xero invoices
Use customer credit only when Xero and the customer contact are ready, and understand why On Account must settle the remaining balance.
Overview
- On Account is a first-class payment method for an invoiced customer rather than money collected immediately at the counter.
- It requires a selected customer linked to a non-archived Xero contact and the required Xero Account Sale configuration.
- On Account must settle the full outstanding balance at the time it is used. Earlier approved partial payments are allowed; the On Account amount is the remaining balance.
- MiniTill creates/synchronizes the Xero Account Sale invoice as part of the supported workflow and exposes retry/status when invoice sync needs attention.
When to use this
- Use On Account only when the business has agreed to invoice that customer and Xero integration/configuration is ready.
Step-by-step
- Select the customer before Pay.
- Confirm the customer is linked to an active Xero contact.
- Choose On Account for the remaining outstanding balance.
- Complete checkout, then review the Account Sale/Xero sync status.
- If sync fails, use the provided retry/recovery rather than creating a second sale.
Common mistakes
- Do not use On Account for an anonymous walk-in.
- Do not manually enter only part of the remaining balance as On Account; it must settle the outstanding amount.
- Do not create a duplicate invoice in Xero just because initial MiniTill sync is delayed; inspect/retry the existing Account Sale sync.
Troubleshooting
- If On Account is missing, check selected customer, Xero contact link, Xero connection, export settings, and required mappings.
- If the order is paid but invoice sync failed, use the Account Sale retry/status path; the payment record and invoice-sync state are related but not identical.
