Invite staff and assign stores

Invite staff, assign initial roles, review invitation status, and manage access across the stores they work in.

Overview

  • Staff & Access shows each person's name, email, role, assignments, invitation/account status, and whether the current user can manage them.
  • Invitations create staff access without requiring managers to share a common login.
  • Store Managers and Cashiers can be assigned to the stores where they actually work. MiniTill supports staff working across more than one store when their assignments require it.
  • The staff list distinguishes Invited, Active, and Disabled access.

When to use this

  • Use Staff & Access when onboarding a new employee, moving somebody between stores, changing a role, disabling access, or reviewing who can use a business/store.

Step-by-step

  1. Open Settings → Staff & Access for the correct business.
  2. Choose Invite staff.
  3. Enter the staff member's details and choose an initial role that your own role is permitted to assign.
  4. Assign the relevant store or stores for store-scoped roles.
  5. Send the invitation and check that the staff list shows Invited.
  6. After the invitation is accepted, confirm the user shows Active and review the assignment summary.
  7. Use the staff detail/edit screen later to adjust role or store assignments when responsibilities change.

Common mistakes

  • Do not invite the same person repeatedly when an invitation is already pending.
  • Do not assign staff to every store by default; give access only to locations they need.
  • Owner is not an invitation role. Business ownership is established through the business ownership flow rather than a normal staff invite.
  • Do not leave former staff Active after they no longer require access.

Troubleshooting

  • If a role is missing from the invite form, your own role may not be allowed to assign it.
  • If a staff member is visible but marked View only, you do not have permission to manage that person's role level.
  • If an invited staff member cannot access the expected store after accepting, review their store assignments and active status.
