Inventory & Stocktake
Stocktake units and conversion
Count stock in the units staff actually handle while MiniTill keeps the underlying base-unit quantity consistent.
Overview
- Each stock item has a base unit inherited from its Ingredient/Recipe/Product context.
- A Stocktake unit label lets staff count in a practical unit such as tub, bag, tray, bottle, or batch.
- The conversion factor defines how much base-unit stock one Stocktake unit contains.
- Minimum and Target values entered in Stocktake units are converted and stored consistently in the base unit.
- For a Product stock item, the base unit is Each.
When to use this
- Use a custom Stocktake unit when staff naturally count packages rather than grams, millilitres, or individual base units.
Step-by-step
- Choose a short Stocktake unit label such as tub or bag.
- Enter what one unit contains, using a measurement compatible with the base unit.
- Check the displayed conversion before saving.
- Enter Minimum and Target using the same practical Stocktake unit.
- Run a small test Stocktake to confirm staff interpret the unit correctly.
Common mistakes
- Do not define a conversion using incompatible units such as litres for a weight-based Ingredient.
- Do not change conversion factors casually while an active Stocktake is in progress; the Stocktake captured its own snapshot at start.
- Do not mix 'packs to buy' with 'units physically counted' unless they genuinely represent the same quantity.
Troubleshooting
- If a conversion is rejected, use a measurement compatible with the item's base unit.
- If Current stock looks multiplied/divided incorrectly, review the Stocktake unit conversion first.
