Use the point ledger as the audit trail and reserve manual balance changes for genuine corrections or migrations.
Overview
- Customer Detail shows Total points, Available points, next expiry information, current group, and recent point-ledger entries.
- The Point ledger can contain EARN, REDEEM, ADJUSTMENT, REFUND_REVERSAL, POST_PURCHASE_EARN, EXPIRE, and VIP-related entries depending on the workflow.
- Managers with the required business access can manually set a new points balance; MiniTill records only the difference as an ADJUSTMENT with a required reason.
- Manual adjustment is intended for migrations and correcting missed/incorrect points, not as a substitute for normal order/refund processing.
When to use this
- Use the ledger to investigate any customer point dispute before changing the balance.
Step-by-step
- Open Customer Detail.
- Review current/available points and recent ledger entries.
- Open View all loyalty logs when more history is needed.
- If a correction is genuinely required, enter the desired New points balance rather than mentally calculating an undocumented adjustment.
- Enter a clear reason and save.
Common mistakes
- Do not adjust points merely because the current balance looks surprising; inspect the ledger first.
- Do not enter a negative target balance; customer points are kept at zero or above.
- Do not use a vague reason such as 'fix' when an auditable explanation is available.
Troubleshooting
- If adjustment controls are absent, your current access does not permit customer management.
- If points differ from an order expectation, compare the ledger entry's eligible base and Earn rate rather than only the receipt total.
