Create and use Store receiving email addresses
Give each Store its own private documents inbox so forwarded invoices, credit notes, and receipt photos are attributed automatically.
Overview
- Each Store can have one MiniTill Business Documents inbox address.
- Mail received at that address is automatically assigned to that Store before document review begins.
- The address contains a private token; treat it like an operational inbound address rather than a public marketing email.
- The Receiving email page shows the current address and the last time a document was received.
- Rotating the address creates a new token. Future mail to the old address stops being accepted, while existing documents are unchanged.
When to use this
- Give the address to suppliers or use it as a forwarding destination from the Store's normal accounts email.
Step-by-step
- Open Business → Documents → Receiving email.
- Find the Store and choose Create documents inbox.
- Copy the generated address.
- Use that Store-specific address for invoices, credit notes, and receipt photos.
- Send a test document and confirm Last received changes and the document appears in the inbox.
- Rotate the address if it has been exposed or should no longer accept mail.
Common mistakes
- Do not use another Store's address just because it already exists.
- Do not rotate an address without updating supplier/forwarding rules that still use the old one.
- Do not assume forwarding the same exact message repeatedly creates multiple documents; MiniTill performs duplicate checks.
Troubleshooting
- If mail sent to an old rotated address is rejected, update the sender/forwarder to the current address.
- If a Store has no inbox, an Owner or Business Manager can create it from Receiving email.
